Preconstruction Coordinator

POSITION SUMMARY:

The Preconstruction Coordinator is responsible for the systematic management of information and documentation throughout the preconstruction process. This role ensures that all proposals and bid packages are comprehensive, deadlines are strictly met, and project data remains accurate within our core systems. 

KEY RESPONSIBILITIES: 

    • Information Management: Serve as the primary steward of project data. Ensure internal systems and project management software are updated with real-time, accurate information and documentation.
    • Document Control: Oversee the distribution of construction documents, including drawings, specifications, addenda, schedules, and other project-specific documents, ensuring all stakeholders are working from the most current information.
    • RFP Coordination and Vendor Communication: Support the Preconstruction team by assembling thorough bid packages, managing responses from bid participants, coordinating site walks, and scheduling meetings. 
    • Deadline Coordination: Monitor all upcoming project milestones and proactively engage with team members to ensure all deliverables are prepared in advance of firm deadlines, and resources are aligned.
    • Bid and Proposal Preparation & Quality Control: Collaborate with the Preconstruction team to compile, organize, and finalize bid submissions. Perform quality checks to ensure all proposals are complete and compliant with both client and Keiter’s internal requirements for submission.
    • Market Expansion Support: Research and identify qualified trade partners in emerging geographic regions and markets to ensure competitive bid coverage and support the firm’s strategic growth into new territories.
    • Permitting & Regulatory Administration: Manage the end-to-end permitting process, including the preparation of applications, coordination with local jurisdictions, and tracking approval timelines to prevent project delays.
    • Other: Other administrative support as required.

QUALIFICATIONS

Skills/Experience 

    • Attention to Detail: Proven ability to manage complex documentation with a high degree of accuracy and precision.
    • Multitasking & Prioritization: Demonstrated capability to manage multiple projects simultaneously in a fast-paced, deadline-driven environment.
    • Systems Proficiency: Advanced skills in construction management platforms (e.g., Procore), CRM software, Google Workspace, and Microsoft Office Suite.
    • Communication & Collaboration: Professional verbal and written communication skills, with the ability to interface effectively between subcontractors, internal departments, and municipal agencies.
    • Experience: 2+ years of experience in estimating/preconstruction within commercial construction, and familiarity with bidding processes and subcontractor coordination preferred. 

Education 

    • Minimum: High school diploma or equivalent (GED) is required 
    • Preferred Education: Associate degree, or higher, in administration, business, construction, or related fields

Classification:  Non-Exempt

Compensation:  $30.00-$35.00 per hour
